1. Who we are

This website is run by The Research & Insights Group Ltd ("R&I", "we", "us"), an independent market research and economic development consultancy with its head office at Western Heights, 8th Floor, Westlands, Nairobi, Kenya.

This notice covers this website only. Research studies and panel surveys you take part in have their own consent information, which you receive before you take part.

2. What we collect

We only collect what you type into our forms:

• Start a project, service enquiry and data collection brief forms: your name, company, email address, phone number, the service you are interested in and the details of your enquiry or brief.
• RFQ Builder (data collection estimate): your name, company, role and work email, your consent tick, and the study details you choose, such as countries, method and sample size.
• Join Our Panel registration: the details you enter about yourself, such as your name, email address, phone number and country.

When you send a form, we also record the date and time, the page it was sent from and a scrambled (one-way coded) version of your internet address. We use these only to stop spam and repeated automated submissions. We cannot turn the coded version back into your internet address.

This website does not use advertising or tracking cookies. If we add website analytics in future, we will update this notice first.

3. Why we use it

• To reply to your enquiry and to send you an acknowledgement with a reference number.
• To prepare a proposal, a quotation or a cost estimate that you have asked for.
• To consider you for research panel studies, if you registered for our panel. Taking part is always voluntary.
• To keep our website secure and free of spam.

We rely on your consent when you send a form, and on the steps needed to prepare a contract or quotation that you asked for. You can withdraw your consent at any time (see section 6).

4. Who receives it

• Project, service and data collection enquiries and RFQ Builder estimates go by email to our partnerships team at partners@research-insightsgroup.com, with a copy to our Regional Director at steve@research-insights-group.com.
• Panel registrations go to partners@research-insightsgroup.com, also with a copy to steve@research-insights-group.com.
• Service providers handle the information for us: a secure hosting provider for this website and our email provider. They may only use it to provide their service to us.

We do not sell, rent or trade your information. We only share it outside R&I if the law requires us to, or with your permission.

Some of our service providers may store data outside your country. Where that happens, we rely on the safeguards that the Kenya Data Protection Act, POPIA and the GDPR require for such transfers.

5. Where it is kept and for how long

• Each form you send is stored in a protected folder on our web server that cannot be opened from the internet, and in the email inboxes listed above.
• Enquiries and RFQ estimates are kept for 24 months after our last contact with you, unless they become part of a contract, in which case we keep them as long as the law requires for business records.
• Panel registrations are kept until you ask us to remove them, or for 24 months after your last panel activity, whichever comes first.
• The spam-protection records are deleted automatically after a short period.

6. Your rights

Depending on where you live, the Kenya Data Protection Act 2019, South Africa's Protection of Personal Information Act (POPIA) and the EU/UK General Data Protection Regulation (GDPR) give you the right to:

• be told how your information is used (this notice);
• see the information we hold about you and get a copy of it;
• have wrong or incomplete information corrected;
• have your information deleted;
• object to, or ask us to limit, how we use it;
• withdraw your consent at any time; and
• complain to a data protection authority.

To use any of these rights, email us (see section 7). We will reply within 30 days and may first ask you to confirm who you are.

The authorities you can complain to are the Office of the Data Protection Commissioner in Kenya (odpc.go.ke), the Information Regulator in South Africa (inforegulator.org.za) and, in the EU or UK, your local data protection authority. We would be grateful for the chance to resolve your concern first.
